Bundle and track the deduction dispute process

Introduction

Dispute Manager allows users to bundle and track the deduction dispute process. This capability delivers on the promise of managing the cradle-to-grave deduction process.

Instructions

  1. Navigate to https://app.adessoai.com
  2. Click Deductions Manager.
  3. Select the deductions you want to dispute.
  4. Click Create Dispute.
  5. You will be taken to the Dispute Manager screen.
  6. In the upper-right corner of the screen, you will see KPI cards with information about your disputes:
    1. Total in Dispute (#)
    2. Total Pending Disputes
    3. Disputes Paid Out in the Last 90 Days
  7. You will create groups (or bundles) for your disputes.
  8. Select the deduction(s) you want to bundle.
  9. Complete the Bundle name field. Enter a name that will make it easy for you to find later.
  10. Click Create.
  11. You can now see that dispute items have been promoted to a bundled list.
  12. At this point, you will proceed with your usual dispute management process. For example, you may contact the customer via email to claim the dispute.
    Once you have launched the dispute process with the customer, click the radio button.
  13. Click Move to In Process.
  14. The dispute will remain In Process until you have determined that it has been rejected or approved. For example, you receive a confirmation email from the customer that the dispute has been approved.
    Click the radio button once you are ready to assign a new status.
  15. Click Approve if the dispute has been accepted by the customer.
  16. Click Closed to see that the dispute has moved to a closed status.
  17. A bundle that will be moved to In Process because an email was sent about the dispute.
  18. If they reject the dispute, select the radio button for that customer > click Reject.
  19. Your rejected dispute will return to the Deductions Manager screen for you to settle.
  20. Back in the Dispute Manager screen, click Closed.
    You will be able to track which bundles were approved and rejected.
  21. Let's say you realize a deduction has been moved to the Dispute Manager, but you realize should no longer be disputed. Take the following action:
    1. Click Deductions Manager. Deductions being disputed have a flag next to the Distributor's Name. Only items with a black arrow can be altered.
  22. Click the black arrow. The flag will turn black with a line through it. Click Save Changes.
  23. The item will no longer be flagged. It will be pulled
